Creating scheduled events

Creating scheduled events

This article explains how to create scheduled or repeated events, including when to use the scheduling tool and when to copy an event.

Step 1: Create your first event

Start by creating your initial event. Before adding any repeats, ensure all event details are correct, including: Event information and images, Ticket types, Seating plan (if applicable), any additional settings or configurations

This event will act as the base for all scheduled or copied events.

Step 2: Add repeated events

How you add repeats depends on whether the events take place at the same time or at different times.

Repeats at the same time
If the repeated events occur at the same time as the first event, use the Create Schedule option.

Repeats at a different time
If the repeated events occur at a different time, or if you need more than one repeat on the same day, use the Copy Event function.

The scheduling tool allows only one repeat per day. If you need multiple events on the same day, you must use the Copy Event option instead.

Using Create Schedule

Use this option when repeats occur at the same time as the original event.

1. From the event dashboard, select Create Schedule in the top right corner.

2. Select Schedule new event if you're creating new repeating events

3. Choose how often the event should repeat: Daily, Weekly, Monthly, Annually, Custom
4. Edit the repeat cycle details as required.
5. Select Schedule. This will automatically create repeated events based on your selected schedule.

If you've already created all events needed, select Attach existing event to add the events to the schedule

Using Copy This Event

Use this option when repeats occur at a different time or when you need multiple repeats on the same day.

1. From the event dashboard, select Actions to open the advanced actions menu.
2. Click Copy this event.

3. Choose the Scheduled event option.

4. Click + Add dates to add repeat dates and times.

Additional settings to note:
  1. If your event uses a seating plan, it will be assigned to the copied events by default.
  2. Resell existing is selected by default, ensuring the same inventory item is used across all repeats.
  3. If you have data capture questions that should apply to all repeats, ensure the Ask option remains selected.
5. Choose whether to publish the repeats immediately or leave them in draft. If the original event is published but hidden, the repeats will also be hidden if published.
