Collect additional customer data

Data capture (DC) questions allow you to gather valuable information from customers throughout the booking process. These questions can be tailored to specific events and customer touchpoints, helping you collect details like preferences, accessibility requirements and agreement to terms & conditions.

CREATING DATA CAPTURE QUESTIONS

To create data capture questions:
  1. Go to the Admin portal and navigate to your event.
  2. In the Event Dashboard, click on the Actions tab, then select the Advanced option and choose Manage Data Capture.
  3. Alternatively, click on System from the left-panel menu, then select Data capture, and select Create question

WHAT ARE GLOBAL QUESTIONS?

Global questions apply across multiple events or customer interactions, like when gathering post code data at registration or terms & conditions agreement at purchase.

The platform includes pre-existing questions such as Full Name, Date of Birth, and Phone Number. These can be enabled or made mandatory during customer account creation.

ADDING A NEW DATA CAPTURE QUESTION

  1. In the Manage Customer Data Capture section, click Add More Questions.
  2. Select from existing questions or create a new one by clicking Add New Question.
  3. Input the question, description, and select the Question Type (e.g., text, Yes/No, dropdown).
  4. Organise questions into Categories for easier management.
  5. Click Submit to save your new question.

APPLYING QUESTIONS TO EVENTS

Newly created questions are listed under Event-Specific Questions. You can choose where the question is asked by selecting from options like:
  1. Every event in this schedule
  2. Every item on this event
  3. Every ticket on this event
You can also make questions mandatory or choose to apply them to specific items or tickets.

MANAGING QUESTIONS
To change settings, revisit the Manage Customer Data Capture section to adjust when and where the question is asked, its mandatory status, or disable it.

VIEWING RESPONSES
Responses to data capture questions are available in:
  1. Customer details (for global questions)
  2. Customer reports (for registration-based questions)
  3. Order page (for event-specific questions)
  4. Event attendance report (for ticket-related questions)

Use the Data Capture button on the Order page or add DC questions to reports for easier viewing and exporting of responses.
